Why painting quotes go cold (and how to stop it)

Short answer: Painting quotes usually go cold because the enquiry wasn't answered quickly, the quote arrived days after the measure-up, it only showed a total price, there was no start date, nobody followed up, or the enquiry was never a good fit. Fix the speed, the detail and the follow-up, and most "ghosting" goes away.

You measured up, the customer was friendly, they said “sounds great, send it through”. You sent the quote. Then nothing.

Most painters put this down to price. In our experience it’s usually something earlier in the process. Here are the six most common reasons painting quotes go cold, and what to do about each one.

1. The enquiry waited too long

The job is often lost before you ever see the house. A homeowner fills in a form or leaves a voicemail, and while you’re up a ladder, they’re ringing the next painter on the list.

Fix it: reply to every new enquiry within minutes, even if it’s only a text: “Thanks for getting in touch, it’s Dave from Example Painting. I’m on a job right now, can I call you at 4?” Then call at 4.

2. The quote arrived days after the measure-up

The measure-up is when the customer is most interested. Every day between that visit and your quote, their attention drifts, and a faster painter’s quote sets the benchmark.

Fix it: send the quote the same day, or tell them exactly when it’s coming and hit that time.

3. The quote only showed a price

A one-page quote with a total gives the customer one thing to compare. If you’re not the cheapest, you lose, or you get a call asking for a discount.

4. There was no reason to decide now

“Let us know if you’d like to go ahead” puts the whole decision on the customer, with no deadline. Busy people put off decisions with no deadline.

Fix it: give a real start date and ask for a decision. “We’ve got a spot opening the week of the 14th. Want me to pencil you in?”

5. Nobody followed up

Plenty of painters send the quote and wait. The customer means to reply, then work gets busy. A week later, the painter who called them is the one who gets the job.

6. It was never the right job

Some quotes go cold because they were never going to go ahead: a renter asking for a landlord, someone pricing a job for next year, or a budget that was never going to cover a full repaint.

Fix it: qualify before you drive out. A two-minute call to check what they want painted, when they want it done, and roughly what they expect to spend saves you hours of measure-ups that were never going to book.

Look at the list again. Five of the six reasons have nothing to do with your price or your painting. They’re about speed, clarity and follow-up, the admin that gets squeezed when you’re flat out on the tools.
